Information we collect

Depending on whether you visit, enquire or work with us, we may collect:

  • your name, email, phone number, role, brand or company, and website;
  • project details, services you need, image uses, timing, budget, messages and files you send us;
  • business and billing details;
  • photos or project materials that identify people;
  • proposals, contracts, signatures, invoices, payment status, approvals and correspondence;
  • delivery and return details for products; and
  • technical details, such as your IP address, browser and records of requests or interactions with our website, forms, client services or service emails.

You usually give us this information directly. An authorised contact may also provide details of colleagues or others involved in your project.

Our standard enquiry process does not ask for information about children, health or accessibility needs, identity documents, criminal matters or other sensitive information. Please do not send passwords, card details or sensitive information we do not need.

02

How we use your information

We use personal information to:

  • run, protect and fix problems with the website;
  • respond to enquiries and prepare quotes or proposals;
  • manage client and project records;
  • handle contracts, invoices, payments, approvals and project messages;
  • deliver work, manage image licences and look after products, deliveries and returns;
  • keep records required for tax, accounting or other legal duties; and
  • handle or defend legal claims where needed.

We sometimes use contact details to send our own marketing material.

We do not make decisions with legal or similarly significant effects based only on automated processing, and we do not profile people.

Required fields help us handle your request. Without the information we need, we may be unable to assess an enquiry, prepare an agreement, issue an invoice or provide the service.

03

Cookies and website technologies

Cloudflare hosts and protects our website, using connection and request information to keep it working and help prevent abuse. Its basic website measurement provides statistics about page use and loading performance. You can manage your measurement choice on our Cookie Policy page.

Web3Forms handles the contact and project details you submit and emails them to [email protected]. It also uses connection information and spam-protection services to help prevent abuse.

hCaptcha checks for spam and abuse when you select Send enquiry with valid details. It uses browser and device information and may use cookies or similar technologies. Completing verification does not send the enquiry—you select Send enquiry again. You can email the studio instead.

Read our Cookie Policy, the Web3Forms Privacy Policy and the hCaptcha Privacy Policy for more information.

04

Sharing information and international transfers

We do not sell or rent your personal information. We share only what is reasonably needed with:

  • providers that help us run the website, handle enquiries and projects, manage email and files, process payments, keep accounts or arrange deliveries;
  • authorities or others when required by law, or when needed to handle or defend a legal claim; and
  • buyers, new owners or professional advisers if all or part of the business changes hands or a sale is being considered.

Web3Forms handles enquiry submissions, our email provider delivers the messages, and hCaptcha helps prevent spam. We may later add relevant details to Dubsado to manage proposals, contracts and invoices.

Some providers process information, or allow it to be accessed, outside the UK. Using our form does not mean your information stays in the UK.

05

How long we keep information

We keep personal information for as long as we need it to handle your enquiry or project, meet legal and accounting duties, or resolve disputes. Different records need different retention periods.

Under our project policy, final-image delivery links remain available for 30 calendar days and a working archive of delivered images is kept for 60 calendar days. Both periods run from the later applicable delivery date. We cannot guarantee retrieval from the working archive.

Web3Forms is set to delete new stored submissions after seven days. This does not delete emails from your inbox or ours, or set the retention period for providers’ technical logs and backups.

06

How we protect information

We protect information by limiting access, using two-step sign-in and password management, keeping software updated and maintaining backups. No system can remove every risk.

Please do not send passwords, card details or sensitive information we do not need through email, the enquiry form or client services.

07

Your rights and how to complain

Depending on the circumstances and our legal reason for using your information, you may be able to:

  • ask for a copy of your personal information;
  • correct information that is wrong or incomplete;
  • ask us to delete information or limit how we use it;
  • receive certain information in a reusable format or have it transferred to another provider;
  • object to how we use information, including for direct marketing; and
  • withdraw permission where we rely on consent.

These rights do not apply in every situation. We may need to check your identity and ask for details to handle your request.

Email [email protected] to make a request or raise a concern. The business owner handles these requests. You can also complain to the Information Commissioner’s Office, the UK’s data-protection regulator.

08

Third-party links and services

Our website and project services may link to other organisations. When they use your information for their own purposes, their privacy policies explain that use. This policy explains what Squared Studios does with your information, including when we use service providers.

09

Changes to this policy

We review this policy when our website, forms, providers or working practices change. If we plan to use information for a new purpose, we will update the relevant privacy information and tell you where required.
